Faculty Internal Awards & Implementation Across Campus

The Challenge

Rice University’s Office of the Vice Provost for Academic Affairs (VPAA) set out to solve a growing challenge: faculty award and nomination processes scattered across email, Box folders, and manual tracking systems. As Rice pursued a new institutional strategic plan, the need for a scalable, centralized approach became urgent.

The Solution

Led by Faculty Lifecycle Manager Devon Jones, the VPAA team adopted InfoReady to support internal awards, external award nominations, and institution-wide governance. With only two staff members managing 200+ external awards annually, the shift to a unified platform dramatically reduced administrative burden while improving data visibility and reviewer experience.

The Results

InfoReady now powers standardized requirements for Provost-level awards, transparent routing steps, automated proxy submissions, and consistent reviewer workflows. For example, the Duncan Award and Outstanding Doctoral Advisor process now run entirely within the system, eliminating version confusion and supporting more nuanced, equitable evaluation.

Rice has also expanded its use of InfoReady beyond awards—to scholarships, HR/admin forms, bridge funding, surveys, and progress reporting—making the platform a cross-campus workhorse.
